Verde Solaire — Rooftop Solar EPC
83 projects moved from four spreadsheets and two WhatsApp groups into one configured operations platform — giving documentation ops back ~10 hours every week.
Verde Solaire runs rooftop solar projects end to end — documentation, loan applications, site surveys, material dispatch, and installation. By the time they engaged Millennial AI, the team was running 83 active projects across four spreadsheets, two WhatsApp groups, and one very tired ops lead.
Every project had to move through a sequence of stages — document collection, name resolution, loan application, loan sanction, loan disbursal, site survey, material dispatch — and the status of any given project lived in whichever spreadsheet or chat thread was updated last. Stuck loans surfaced late, often on a Friday night, after the delay had already cost days.
The cost wasn't any single tool. It was the swivel-chair work between tools that don't know about each other, and the hours documentation ops spent reconciling them.
We deployed Spine, our operations platform, configured to the way Verde Solaire actually runs projects — their stages, their roles, their approvals. Mapped in one week, configured in two, rolled out by week three.
Map the processes (week 1)
We sat with the Verde Solaire team and mapped every recurring workflow — project stages, document requirements, loan milestones, approvals, and handoffs. No best-practice templates; the map reflected how their projects actually move.
Configure Spine (weeks 2-3)
We built their roles, fields, statuses, approval chains, and reports inside Spine. The project pipeline was configured to their eight real stages — from document collection through loan sanction and disbursal to site survey and material dispatch — with project cards carrying the customer, system size in kW, and time-in-stage flags.
Roll out and support (week 3 onward)
The team was onboarded by week three. Millennial AI stays on retainer for configuration changes, integrations, and new modules — no consulting bills for every tweak.

Stuck loans stopped surfacing on Friday nights. Time-in-stage flags make delays visible the day they start, so the ops lead intervenes while there is still time to fix them.
“We were running 83 projects across four spreadsheets, two WhatsApp groups, and one very tired ops lead. Spine put it in one place. Documentation gets back about ten hours a week, and I've stopped finding out about stuck loans on a Friday night.”
